Registering for Work on Campus

How to register as a casual student worker for work opportunities on campus.

Before starting any work for the University

Before starting any work for the University, you must ensure that you complete the following steps:

Step 1: Register as a student worker via Student Portal

See further details below on how to register as a student worker via the . After you’ve registered on Student Portal, you’ll receive an email within two working days inviting you to join the  .  The site is where some of our on campus work assignments are advertised, you can find further information on the Jobs on Campus website.

If you have been offered an assignment on campus, please proceed to step 2.  Do not proceed to step 2, if you haven’t been offered work on campus.

Step 2: Complete a right to work check with People Services

Email recruitment@ncl.ac.uk to request a right to work appointment. Please include the date your work assignment is due to commence and recruiting manager. Ensure you request your appointment a minimum of 5 working days prior to the start date of your work assignment.

Step 3: View your work assignment in the My Working Hours app

Once your first assignment has been created you will receive an email providing you with a link to access the My Working Hours app.

Guidance on how to use the My Working Hours App can be found here

How do I register as a student worker via Student Portal?

You can register as a student worker by logging in to the .  To find guidance on how to register for work and how to check if you are already registered in our Registering for Work Guide (PDF: 782KB)

Please note, if you register for work and do not complete any assignments in the six months after you have registered, your personnel record will be deleted. Therefore, we ask that you only book your right to work appointment once you have been offered work on campus.

If you have worked on campus previously, but have not completed any assignments within the last 12 months, your personnel record deactivated. This will result in you losing access to the My Working Hours App. You will be able to re-register if you are offered any future assignments.

Registering with Unitemps

The University is moving from the current My Working Hours App to a new, University-run service called Unitemps, based in the Careers Service. Find out more.

If you have received an email inviting you to register with Unitemps, please see the frequently asked questions (FAQs) below.

How do I register with Unitemps?

If your role starts or continues from 29 June, you will receive an email to your University inbox with full instructions on how to register with Unitemps.

To ensure a smooth transition, please complete the registration and onboarding process as soon as possible.

What happens after I create my Unitemps account?

You will be contacted in due course with an email invitation to register for your assigned role. Creating your Unitemps account in advance will help speed up this process.

You will also receive further instructions on how to complete your onboarding, including how to carry out your Eligibility to Work check.

Why do I need to upload a CV and two references as part of the onboarding process?

This is a standard requirement for all Unitemps roles, even if you are already in post. You will not be able to proceed with the onboarding process unless you upload a CV and enter details of two references.

To avoid delays, we recommend uploading a basic CV and entering reference details for now. You can update these later, and they will not affect your current role.

Who can I list as a reference?

You can list a range of people as references, such as:

  • Your manager
  • A previous employer
  • An academic staff member

If needed, you can enter details like a friend or family member to complete the process — this will not affect your current role.

Will Unitemps contact my referees?

No. References are not routinely requested or checked. Referees will only be contacted if this is specifically required for a role you apply for in the future (for example, if stated in a job advert).

I’ve recently worked as a student worker or have an ongoing role. Do I still need a new Eligibility to Work check with the Unitemps team?

Yes. You will still need to complete a new Eligibility to Work check as part of the Unitemps onboarding process.

Although you remain employed by the University, you will be working under Unitemps employment conditions and will have a new employee record on the Unitemps system. This is required to meet regulations.

What documents do I need to complete an Eligibility to Work check with the Unitemps team?

You will be asked to provide documents as part of the Eligibility to Work check with Unitemps. Further instructions will be provided by email.

A list of acceptable documents to demonstrate your right to work in the UK can be found on the .

Why does my Unitemps pay rate look lower than before?

Unitemps displays your hourly pay rate separately from your holiday pay, whereas roles previously through the Student Employment on Campus system were advertised with holiday pay included in the total hourly rate.

Although you remain employed by the University, you will be working under Unitemps employment conditions and will have a new employee record on the Unitemps system. This means your pay has not decreased — it is simply shown differently. Your overall pay, including holiday pay, remains the same.

What happens if I don’t complete my Unitemps registration and onboarding before 29 June?

You must complete your full Unitemps registration and onboarding, including your Eligibility to Work check, before you can start or continue working from 29 June; otherwise, this may cause delays and you will be unable to work until it is complete.

You will receive confirmation from Unitemps once your registration and onboarding process is complete and you can start/continue working.

Where can I find help with the Unitemps registration?

If you need help with registering or completing your onboarding, please contact the Unitemps team at unitemps@newcastle.ac.uk.
